NWe are looking for a versatile and strategic Executive Assistant who can play a central role in planning, client relations, and the optimization of the company’s internal processes. While the position includes executive tasks, it also has a strong strategic dimension—supporting managers in solving work-related issues and acting as a bridge between clients, suppliers, and internal teams.

Working hours are tailored to the Canadian market: 8:00 a.m. to 5:00 p.m. (Canadian time), with a one-hour break."

Responsabilities

  • Ensure the coordination of communication between internal departments and external partners (clients, consultants, suppliers, project managers)
  • Manage telephone calls, incoming emails, and mail
  • Plan, organize, and follow up on meetings: send invitations, prepare agendas, take notes, and write meeting minutes
  • Write, structure, and format various professional documents: agreements, proposals, presentations, etc
  • Manage the president's calendar, scheduling appointments, screening calls, and processing mail
  • Track strategic files and projects using the CRM (Go High Level)
  • Participate in social media management (writing, optimization) and support marketing initiatives with ideas and operational assistance
  • Perform basic accounting tasks: inputting supplier invoices, preparing client invoices, tracking accounts receivable, and transmitting documents to the accounting department
  • Optimize business processes to improve efficiency
  • Provide active support to managers in solving operational problems

Required Skills

  • University degree or professional diploma in administration, management, communications, or a related field
  • Fluency in French, both spoken and written
  • Proficiency in office automation tools, particularly the PC Windows suite (Word, Excel, PowerPoint, etc.)
  • Experience using a CRM and/or ERP system
  • Skills in digital marketing and social media management
  • Excellent organizational and time management skills
  • Strong interpersonal communication abilities
  • Ability to work autonomously and as part of a team
  • Comfortable with document management tools and professional communication platforms
  • Engaging and dynamic work environment, with diverse and cross-functional responsibilities

Nice to Have

  • Fluency in English, both spoken and written
  • Knowledge of the Canadian market and its business culture
  • Certification in project management or business administration
  • High-level proficiency in Go or another ERP
